This policy explains how we collect and use your personal data when you book or enquire about wedding prop hire with White & Wed. We are the data controller for the personal data described here.
1. Who we are
White & Wed is a trading name of UniMove. Our business address is Plover Barn, Kings Lane, Longcot, SN7 7SS. For any privacy question, email [email protected].
2. What data we collect
When you make a booking or contact us, we collect:
- Your name.
- Your contact details, including email address and mobile number.
- Your billing address.
- Your venue address and booking details, including the hire date and any notes you give us about access or timings.
- Your booking reference and the records of payments you make.
Card payments are processed by Stripe on Stripe's secure pages. We do not collect or store your full card number. Stripe handles your card details directly.
3. Why we use your data and our lawful basis
We use your data for these purposes:
- To perform our contract with you. We use your name, contact details, addresses and booking details to take your booking, deliver and collect the prop, tune it on site, contact you about timings and access, and invoice the balance. The lawful basis is performance of a contract.
- To take payment. We pass the details needed to take your deposit and balance to Stripe. The lawful basis is performance of a contract.
- To meet our legal duties. We keep records of transactions for accounting and tax. The lawful basis is compliance with a legal obligation.
- To run and protect our business. We may use your data to answer enquiries, keep our records, and deal with any dispute or claim. The lawful basis is our legitimate interests in operating the business, balanced against your rights.
4. Who we share your data with
We use a small number of trusted service providers (processors) who handle data on our behalf:
- Stripe processes card payments and stores the payment records linked to your booking.
- Our operations and scheduling tools, including Smartsheet, hold your booking details so our team can plan delivery and collection.
- Our email provider, which we use to contact you about your booking and to send confirmations and invoices.
We may also share data where we are required to by law, or to establish, exercise or defend legal claims. We do not sell your personal data.
5. How long we keep your data
We keep your booking and contact data for as long as needed to provide the hire and to deal with anything that follows from it. We keep records that relate to payments, accounting and tax for at least six years, as required by UK law. After that we delete or anonymise data we no longer need.
6. Your rights
Under UK data protection law you have the right to:
- Ask for a copy of the personal data we hold about you.
- Ask us to correct data that is wrong or incomplete.
- Ask us to delete your data, where there is no good reason for us to keep it.
- Ask us to restrict or object to how we use your data.
- Ask us to transfer your data to you or another provider, where this applies.
To exercise any of these rights, email [email protected]. We will respond within one month. There is usually no charge.
7. Cookies
Our own site is kept deliberately light and does not set marketing or tracking cookies. When you pay, Stripe's secure checkout pages may set cookies that are necessary for the payment and for fraud prevention. Your browser settings let you manage or block cookies.
8. Keeping your data safe
We use appropriate technical and organisational measures to protect your data, and we only work with providers that take security seriously. Card details are handled by Stripe and are never stored by us.
9. How to contact us or complain
For any privacy question or request, email [email protected]. If you are unhappy with how we have handled your data, you have the right to complain to the Information Commissioner's Office (ICO). You can contact the ICO at ico.org.uk or by calling 0303 123 1113. We would welcome the chance to put things right first, so please contact us before you complain if you can.

We may update this policy from time to time. The current version is always the one published on this page, with the date of the latest update shown at the top.
